Core CRM Features
The standard CRM records every team touches daily — Leads, Clients, Proposals, Invoices, Projects, and Tasks — and how they connect into one continuous business flow.
From Lead to Paid Invoice
The core CRM's real job in one sentence: turn an interested contact into revenue, with nothing falling through the cracks in between.
1Lead Captured
A new contact shows interest. Add them under Sidebar → Leads → Add New — name, source, and status all in one short form.
2Worked & Qualified
Log calls, notes, and follow-up reminders directly on the lead record until you know it's a real opportunity worth pursuing.
3Converted to Client
One click, Convert to Client, on the lead's page. Every note and file already on the lead carries over — nothing is re-typed.
4Proposal Sent
Build a Proposal under Sidebar → Sales → Proposals → Add New, linked to the client, itemized, and sent as a shareable link they can review online.
5Proposal Accepted
The client accepts (or comments) directly on their copy — no back-and-forth emails needed to get a yes on record.
6Invoice Generated
Convert the accepted Proposal straight into an Invoice — the line items carry over automatically, nothing re-entered by hand.
7Payment Recorded
The client pays online through the invoice link, or you record a manual payment under Sidebar → Sales → Payments — either way, the invoice balance updates instantly.
Every step above lives in its own record permanently — nothing gets deleted or overwritten as it moves forward. You can always trace a paid invoice back to the exact proposal, and the exact lead, that started it.
Manage Your Core Records
Where to find each one, and what it's actually for.
Leads
Sidebar → Leads. The intake point for every not-yet-a-client contact. Add manually, import in bulk, or connect a web form — each lead tracks its source, status, and full activity history until you convert or close it.
Clients
Sidebar → Clients. A client is a full company/contact record — billing details, contacts, notes, and every proposal, invoice, and project tied to them in one place. Created directly, or automatically when a lead converts.
Proposals
Sidebar → Sales → Proposals. An itemized, shareable offer — send it as a public link the client opens without logging in. Set an expiry date, and convert an accepted proposal straight to an invoice with one click.
Invoices
Sidebar → Sales → Invoices. Track what's owed, send reminders on a schedule, and accept payment online through any of the platform's enabled gateways. Every payment recorded updates the balance instantly.
Projects
Sidebar → Projects. For work that runs beyond a single invoice — track billing type (fixed rate, hourly, or by milestone), assign staff, and log time directly against the project.
Tasks
Sidebar → Tasks. A checklist attached to a lead, client, project, or standing on its own — assign it, set a due date, and it shows up on the assignee's own task list automatically.
Looking for the real-estate-specific pipeline instead — the one built specifically for property leads, viewings, and offers? That's Listing Leads, covered in the Leads Management & RevOps guide. This page covers the standard CRM records every business uses; Listing Leads is Listing360's real-estate sales engine built on top of them.
