What "RevOps" Means Here
Revenue Operations (RevOps) is a simple idea: sales activity, management reports, and company planning should all be built on one shared source of truth — not three separate guesses. Without it, a lead tracked in a private notebook here and a spreadsheet there quietly disappears, and nobody can trust the numbers.
The Listing Leads module is how Listing360 delivers this: every buyer or tenant enquiry, however it arrives, becomes a lead and travels through the exact same tracked pipeline. That single shared record is what keeps your Command Center numbers, your manager's reports, and your own screen always in agreement.
The Journey of a Lead — 13 Stages
Every lead sits in exactly one of these 13 stages at any moment. The rules are enforced, not suggested — you can't skip a step the lead hasn't earned. Follow the line down.
1Draft
Captured, nobody owns it yet. Created without an assigned agent or a linked contact.
2Assigned
A sales agent now owns it, and the response clock starts running. A manager assigns the agent.
3Qualifying
The agent is on the phone, confirming exactly what the client is looking for. Begins the moment the agent takes the lead.
4Qualified
Requirements are confirmed and saved — a genuine, workable opportunity. Reached once the agent completes the requirements form.
5Matching
Building and sharing property offers against live inventory. Requires actual matching stock to exist — see the "why" below.
6Appointment Scheduled
At least one viewing is booked. Set automatically the instant an appointment is created — not a status agents choose by hand.
7Appointment Completed
Every booked viewing has been resolved. Automatic, the instant the last appointment on the lead finishes.
8Negotiating
The client liked something, and terms are actively being agreed. This negotiation phase is optional — an agreement can also be created straight from Appointment Completed.
9Won 🎉
Deal closed. Set automatically, and only, when a Property Agreement is created — see the "why" below.
10 · Lost
A real opportunity that didn't close. Requires a reason from a fixed list.
11 · Unqualified
Never a real opportunity. Only available in the early stages, before real work goes in.
12 · Nurturing
Genuine interest, wrong timing. Parked with a follow-up reminder date.
13 · Recycled
Back in the pool, waiting for a fresh agent. Arrives here from Lost or Nurturing.
The Three Rules Everyone Asks About
These gates trip up almost every new agent once. Understanding why they exist makes them click.
Why can't I move a lead to "Matching" whenever I want?
Matching requires real stock. If nothing in the catalogue matches the lead's criteria and there's no specific target property, the move is refused. The reasoning: a "Matching" lead with nothing to actually match would be dishonest in your reporting — it implies active work on properties for this client when there is none. Adjust the criteria, or add the property, and the gate opens on its own.
Why can't I set "Appointment Scheduled" myself?
Because it isn't a status you decide — it's a fact that either happened or didn't. It's set the instant an appointment is created, and cleared once every appointment is resolved. The reasoning: if agents could toggle this by hand, it would stop meaning "a viewing is actually booked" and start meaning "an agent typed that a viewing is booked" — two very different levels of trust. The system keeps the label honest by tying it to the real appointment record.
Why is "Won" greyed out? This is the important one.
A lead becomes Won only when a Property Agreement is created from it — never by picking it from a menu. This is deliberate: every "Won" figure that ever appears in a report, a commission calculation, or your own Performance Index is backed by a real, signed document — never an optimistic guess. Record the visit verdict, then use Create Agreement — that's the intended, and only reliable, door into Won. (A Sales Manager holding both the Sales Manager and Update Status Manually permissions can set Won by hand as a deliberate safety net for edge cases — see the Property Agreements guide — but this override should be rare, since the whole point of the automatic path is a real signed agreement behind every number.)
Three Features Working in Your Favor
These aren't obstacles — they're what make the pipeline actually work for you day to day.
The Response SLA Clock
A 15-minute (default) clock starts the moment a lead is assigned to you. Beat it, and it simply stops. Miss it, and it's flagged — a visibility signal for your manager, not an automatic penalty.
Property Matching & Offers
Build a shareable batch of matched properties — the client reacts on their phone, no login needed. Their reactions — Viewed, Selected, or Rejected — sync back to your screen in near real time.
Organic Re-engagement
If a client with a Lost or Nurturing lead reaches out again — through the website or a connected messaging channel — their old lead is recycled automatically. A returning client is never treated as a stranger.
One reason deserves special mention: "Bypassed Agent"
If a client goes around their assigned agent to deal directly with a property owner, this is the reason for exactly that. Selecting it isn't just a note — it automatically notifies every sales manager and flags the lead for review, protecting both your commission and the company's relationship with the owner.
Why All of This Matters to You, Personally
Everything you do in Listing Leads feeds the Command Center — the dashboard that calculates your own Performance Index and shows your manager your open leads, response times, and pending actions. So much of this pipeline is enforced rather than left as a suggestion for exactly this reason: clean, honest stages make honest numbers. Following the process properly is the single easiest way to make sure your work actually counts.
Common Questions
Why can't I move this lead to Matching?
Nothing in the catalogue matches its criteria and it has no target property. Widen the criteria or add the stock.
Why is "Won" greyed out?
Won is reached by creating an agreement, not by picking it. Record the visit verdict, then use Create Agreement on the property.
Why can't I create a new offer?
The client has selected a property from the current batch and no viewing has happened yet. Book or cancel that viewing first.
Why won't this website lead's status change?
It has no linked contact yet. Assign the agent — the same window links or creates the contact.
A lead came back to life on its own — what happened?
Organic re-engagement. The contact got back in touch, so their old lead was recycled into the queue for reassignment.
